The Stack / Automation

Zapier

04 Automation

Yes for the first automation seat — Zapier's app coverage means the integration you need almost certainly exists. Costs climb steeply with volume, and since June 2026 they climb inside the plan too: AI steps bill at up to 5x tasks by model tier and default to 3x, so price a Zapier plan by the work it runs, not the number on the page. When your zaps become infrastructure, that's the signal to evaluate n8n.

The job in the stack

The glue seat: moving data between the tools that don't talk to each other, on triggers you define.

Pricing

PlanPriceNotes
Free$0100 tasks/mo, two-step zaps; built-in tools (Filter, Formatter, Paths) don't count against the quota
Professionalfrom $19.99/mo$29.99/mo billed monthly. Starts at 750 tasks, scales toward 2M as usage grows. Over-limit tasks auto-bill at ~1.25× the base rate; pay-per-task rates rose for billing cycles on/after July 15, 2026 (annual plans and task limits unaffected)
Teamfrom $69/mo$103.50/mo billed monthly. 2,000 base tasks, up to 25 users, SAML SSO
EnterprisecustomUnlimited members, governance controls, technical account manager. Billed against an Annual Task Limit rather than a monthly reset — a heavy month borrows from a light one

Models & versions

  • Zapier AgentsAutonomous AI teammates alongside Zaps; MCP server exposes 30,000+ Zapier actions to external LLMs; AI guardrails added Feb 2026. Agents and Chatbots bill on their own units, outside the task economy
  • AI by Zapier model tiersSince June 15, 2026 an AI step's task cost depends on the model tier you pick: Standard 1 task per run, Advanced 3, Premium 5, with tool calls charged again at the same multiplier. New steps default to Advanced, so an AI step costs 3 tasks unless you change it. A step that hits 75 tasks in one run pauses the Zap for approval

The honest read

What works

  • +Widest app catalog in automation — the connector usually exists
  • +No-code builder a non-developer can genuinely operate
  • +AI steps drop LLM calls into any workflow

What breaks

  • Task-based pricing punishes success — busy automations get expensive
  • AI steps bill at 1x, 3x, or 5x tasks by model tier, and default to 3x — the meter moved without the sticker price moving
  • Complex logic gets awkward; it's glue, not a programming environment
  • Debugging failed zaps at volume is tedious
  • Zapier Functions (custom code steps) is deprecated, shutting down Sept 1, 2026 in favor of Code by Zapier

Use it for

  • First automations: lead capture, notifications, data sync
  • Operators without engineering time
  • Wiring niche SaaS apps that nothing else connects

Skip it if

  • ×You're volume-heavy and technical — n8n self-hosted is a fraction of the cost
  • ×Everything you automate lives inside one suite that has native automation

Questions operators ask

?Why did my Zapier bill jump without a price increase?

Check your AI steps. Since June 15, 2026 an AI by Zapier step bills by model tier — 1 task on Standard, 3 on Advanced, 5 on Premium — and every tool call inside the step is charged again at the same multiplier. New steps default to Advanced. So a 750-task Professional plan running one AI step per lead is really a 250-lead plan. Open each AI step, ask whether it needs tools at all, and drop the ones that don't to Standard. That single audit is usually worth more than changing plans.

?Zapier or n8n?

Zapier to start and for the widest app coverage; n8n when volume, complexity, or cost make owning the automation layer worth the setup. Full comparison on the compare page.

What changed

  1. Freshness sweep: sticker prices all hold against zapier.com/pricing — Free 100 tasks, Professional $19.99 annual / $29.99 monthly at 750 tasks, Team $69 / $103.50 at 2,000 tasks and 25 seats, Enterprise custom. The correction is a meter change we missed last sweep: since June 15, 2026, AI by Zapier steps bill by model tier — Standard 1 task, Advanced 3, Premium 5 — with tool calls charged again at the same rate, and new steps default to Advanced. An AI-heavy Zap can therefore cost three to five times what the same Zap cost in May with no plan change and no notice on the pricing page. Also logged: Enterprise runs on an Annual Task Limit rather than monthly resets, and Agents and Chatbots bill outside the task economy entirely.
  2. Freshness sweep: base plan prices unchanged ($19.99/$29.99 Professional, $69/$103.50 Team). Pay-per-task overage rates rose for billing cycles on or after July 15, 2026; plan features, task limits, and annual pricing unaffected.
  3. Verified pricing tiers and task quotas. Zapier Agents now ships an MCP server (30,000+ actions) and AI guardrails; Zapier Functions is deprecated, shutting down Sept 1, 2026.
  4. Seeded from January 2026 baseline; pricing tiers pending fresh verification by the update loop.
